Photography, Videography, and Livestream Production Services

1. Organization Overview


Solutions Not Punishment Collaborative, also known as SnapCo., is an Atlanta-based, Black trans-led organization working to build safety, power, and liberation for Black transgender and queer communities.


SnapCo. is seeking proposals from qualified production companies to provide comprehensive photography, videography, and livestream production services for the 2nd Biennial SnapCo. Forever Paradise Gala.


The gala will take place on Saturday, August 8, 2026, at Center Stage Atlanta and will include a red carpet, guest arrivals, live stage programming, awards and recognitions, performances, fundraising moments, and behind-the-scenes activity.

 

2. Project Overview


SnapCo. is seeking an experienced production team capable of providing coordinated, high-quality coverage across multiple areas of the event.
Because several important moments will occur simultaneously, the selected team must be able to provide multiple photographers and videographers, along with the necessary production staff and equipment to support professional event documentation and livestreaming.

 

The selected team will be expected to capture the full experience of the gala, including guests, staff, organizational leadership, honorees, performers, speakers, sponsors, and key program moments.

 

Particular attention should be given to documenting SnapCo. staff and the organization’s executive director throughout the evening.

 

3. Scope of Services


The selected production company should be prepared to provide comprehensive photography coverage of the event.

 

Photography needs are expected to include dedicated red-carpet coverage, stage photography, awardee and honoree photography, speaker and performance coverage, guest portraits, candid guest photography, backstage and behind-the-scenes documentation, sponsor visibility, venue details, and coverage of SnapCo. staff and leadership.

 

The production team should include enough photographers to cover these areas simultaneously without creating significant gaps in documentation.
The selected company should also provide professional videography services throughout the event. Video coverage should include guest arrivals, red-carpet activity, stage programming, speeches, awards, performances, audience reactions, staff activity, backstage moments, and general event atmosphere.

 

SnapCo. is also seeking professional livestream production for the stage program. The livestream should include clear audio, multiple camera angles, appropriate switching between speakers and program activity, and reliable transmission throughout the scheduled broadcast.


The selected team should provide all necessary cameras, audio equipment, lighting, livestream equipment, production personnel, storage media, cables, power solutions, and backup equipment required to complete the project successfully.


4. Anticipated Production Areas


The selected production team should be prepared to provide coverage in the following areas:

 

  • Red carpet and guest arrivals.

  • Main stage programming, including awards, honorees, speakers, performances, and fundraising moments.

  • Guest and audience photography and videography.

  • Backstage and behind-the-scenes activity.

  • SnapCo. staff, executive leadership, and event operations.

  • Venue details, branding, décor, sponsors, and event atmosphere.

  • Livestream production and recording of the main program.
     

5. Staffing Expectations

 

Proposals should include a recommended staffing plan based on the scope of the event.


SnapCo. anticipates the need for multiple photographers, multiple videographers or camera operators, a livestream director or technical director, and any additional production staff required to manage audio, lighting, equipment, media, and live switching.


Vendors should clearly identify the number of proposed team members, their assigned responsibilities, and whether any subcontractors will be used.
 

6. Deliverables

 

Proposals should clearly describe all proposed deliverables.


Expected deliverables may include a curated gallery of edited, high-resolution event photographs, a full recording of the stage program, edited event recap footage, short-form video clips for social media, raw video footage, livestream recordings, backstage footage, red-carpet footage, and organized digital delivery of all final assets.


Vendors should identify which deliverables are included in the proposed fee and which services are available at an additional cost.
Proposals should also include the expected turnaround time for preview photographs, the full edited photo gallery, video deliverables, livestream recordings, and any other final materials.


7. Technical Requirements


The selected production team must be able to provide professional-grade equipment and reliable backup systems.


The livestream should include clear program audio, stable video, coordinated camera switching, and recording of the final program feed.
The production team should be prepared to coordinate with Center Stage Atlanta, SnapCo. staff, event planners, stage managers, audio engineers, performers, and other event vendors.


The selected company must also be prepared to participate in advance production meetings and provide a detailed production plan before the event.

 

8. Usage Rights and Ownership

 

All photographs, video recordings, audio recordings, livestream recordings, raw files, edited files, project files, and other media created in connection with the SnapCo. Forever Paradise Gala will be the exclusive property of Solutions Not Punishment Collaborative.
The selected vendor will not retain any ownership, copyright, licensing, publication, promotional, portfolio, social media, advertising, resale, distribution, or other usage rights to the photographs, video, audio, or related materials produced for this event unless otherwise approved in advance through a separate written agreement with SnapCo.


The vendor may not post, publish, display, share, submit for awards, use in a portfolio, provide to third parties, or otherwise distribute any event media without prior written authorization from SnapCo.


SnapCo. will retain the exclusive and unrestricted right to use, reproduce, edit, modify, publish, distribute, archive, license, and display all final and raw media for organizational communications, fundraising, marketing, social media, websites, press materials, reports, historical archives, and any other organizational purpose.

 

Any exception, shared usage arrangement, vendor portfolio permission, licensing provision, or additional rights may be negotiated separately and must be documented in writing and approved by SnapCo. before use.


9. Vendor Qualifications


Qualified vendors should have demonstrated experience providing photography, videography, and livestream production for formal galas, nonprofit events, awards programs, red carpets, live performances, conferences, or similar large-scale events.


Vendors should also demonstrate the ability to manage multiple production areas simultaneously and work effectively in fast-paced live event environments.
Experience working with Black, LGBTQ+, transgender, nonprofit, advocacy, cultural, or community-based organizations is welcomed.


10. Proposal Requirements


Proposals should include a company overview, relevant experience, proposed production approach, recommended staffing structure, equipment plan, list of deliverables, production timeline, editing timeline, pricing, payment schedule, cancellation terms, overtime rates, travel or equipment fees, insurance information, and references.

 

Proposals should also include links to relevant photography, videography, livestream, gala, red-carpet, performance, or event production samples.
Please identify any assumptions, limitations, exclusions, or additional costs that SnapCo. should consider.

 

11. Budget

 

Solutions Not Punishment Collaborative is a nonprofit organization operating as a fiscally sponsored 501(c)(3) project of SEE, a nonprofit organization based in the State of California.


Vendors are asked to provide a detailed and itemized cost proposal that reflects nonprofit-scale pricing. SnapCo. respectfully requests that vendors consider offering nonprofit, community-based organization, or reduced-rate pricing when developing their proposals.

 

The proposed budget should clearly identify costs associated with photography, videography, livestream production, staffing, equipment, editing, post-production, media delivery, travel, overtime, and any optional services. Vendors are also encouraged to recommend alternative staffing models, service packages, in-kind contributions, or discounted options that can provide comprehensive coverage while supporting the responsible use of nonprofit resources.

 

12. Selection Criteria

 

Proposals will be evaluated based on relevant experience, quality of previous work, understanding of the project, proposed staffing and production approach, ability to provide comprehensive coverage, livestream capabilities, deliverables, turnaround time, pricing, references, and overall alignment with SnapCo.’s needs and values.


SnapCo. reserves the right to request additional information, conduct interviews, negotiate proposal terms, or decline any or all proposals.
 

13. Event Schedule and Availability


The SnapCo. Forever Paradise Gala will take place on Saturday, August 8, 2026, at Center Stage Atlanta.
The final production schedule, arrival times, red-carpet schedule, stage program, livestream window, rehearsal needs, and breakdown schedule will be shared with the selected vendor.


Vendors should confirm their availability for the full event day and identify any scheduling limitations.


14. Submission Instructions
